Key Responsibilities:
Expat Services:
Manage expat housing leases, including repairs and utility maintenance.
Maintain records and ensure compliance with residence permits.
Handle documentation for expats work permits, visa application, renewals, driving licences, etc.
Travel and Visa Administration:
Process work and business visas for Vard employees traveling abroad.
3. Car Team Management:
Coordinate daily and on-demand transportation requests.
Oversee monthly payments for car services (timesheets, tolls, petrol, etc.).
Office Supplies and Utilities:
Manage purchasing, delivery, and record-keeping for office supplies (stationery, drinking water, etc.)
Handle payments and resolve issues related to office utilities (telephone, internet, etc.)
Payments and Documentation:
Ensure timely processing of payment and contract.
Maintain accurate filling systems for office documentation.
Event and Meeting Coordination:
Assist in organizing internal events, meetings, and conferences.
Coordinate room booking for internal meeting and trainings.
Collaborate with HSE, Maintenance, and other teams for smooth office operations.
Support Service:
Assist with food, transport, and accommodation arrangements for expats and visitors
Manage bookings and payments for travel-related needs (flights, hotels, trains, and ferries).
Step in at reception if needed, handling calls and mail.
Legal and Maritime Documentation:
Handle documents for sea trials, launches, and deliveries in coordination with Maritime Police, Pilots and Port Authorities.
Work with legal department and foreign affairs on vessel certificate prior to delivery.
Other Duties:
Perform additional tasks as assigned by management
Qualifications:
Education: Bachelor's degree in Business Administration or related field.
Experience: Minimum of 2 years of experience working in a multinational company.
Skills & Competencies:
Strong organizational skills with the ability to manage multiple tasks and priorities.
Excellent communication and interpersonal skills, capable of working with a diverse range of individuals.
Proficient in both English and Vietnamese communication.
Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Detail-oriented with a high level of accuracy.
Ability to work both independently and in a team environment.
Positive attitude and a willingness to learn.
