Key Responsibilities:
Reception & Office Frontline Management:
- Greet all visitors in a friendly and professional manner.
- Answer and respond to incoming calls promptly and accurately.
- Ensure the Reception desk is manned from Monday to Friday to support smooth office operations.
Office Administration & Facility Support:
- Manage documentation control in accordance with the Administration Department’s requirements.
- Coordinate with cleaning and maintenance teams to ensure a clean, safe, and efficient office environment.
- Handle requisition forms for office supplies, name cards, letterheads, furniture, etc., and liaise with Procurement.
- Support HSE, Maintenance, and other departments in urgent matters to maintain smooth operations.
- Arrange cars in cooperation with the Administration team.
Immigration management for expats working in the company:
- Handle work permit and visa applications, as well as boarding passes.
Expense Tracking & Logistic Support:
- Maintain records and support the tracking of taxi cards and monthly phone cost invoices.
- Assist with canteen meal bookings for staff when the Administration Specialist is off.
- Assist in basic paperwork with the legal department when needed.
Company Events & Internal Coordination:
- Serve as a supporting member of the Organizing Board for internal events, conferences, meetings, and training programs.
Other Tasks:
- Perform other duties as assigned by the Administration Manager.
Qualifications:
Education: Bachelor's degree in Office Administration, Reception, Business Skills or related field.
Experience:
- Minimum of 2 years of experience working in a multinational company.
- Proven track record in handling front desk and administrative tasks.
Skills & Competencies:
- Strong interpersonal and customer service skills.
- Clear communication skills, both verbal and written.
- Excellent English proficiency (written and spoken).
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Familiarity with Intranet and Internet usage.
- Detail-oriented, professional, and adaptable in a dynamic work environment.
