The purpose of this role is to carry out the assigned duties, which include but no limit to:

  • Canteen management:
    • Collect registered staff lists for meals daily
    • Keep contacts with the supplier for meals, menu, set-up, communication, etc.
    • Keep contacts with Team leaders to ask their supports in necessary cases, i.e.: to increase meals suddenly, to explain some changes to workers, etc.
    • Make relevant payments every month-end.
  • Handle requests of expats about house leases, repairs & make payments for their monthly housing utilities.
  • Prepare relevant business correspondence (contracts, office documents, etc.) and keep track of core filing.
  • Handle bookings, delivery and payments related to food for expats, visitors (if requested).
  • Make payments and solve procedural issues of office utilities: telephone, internet, etc.
  • Handle bookings and payments related to tickets (air, train, and ferry), hotels for business trips.
  • Control taxi cards:
    • Keep records
    • Deliver
    • Make payments every month-end.
  • Control mobile phone cards:
    • Keep records
    • Deliver
    • Make payments every month-end
    • Monthly & quarter report.
  • Handle bookings and payments related to newspapers/magazines of office and expats.
  • Transportation control.
  • Check material in/ out the side.
  • Arrange in-side meeting/ training rooms.
  • Corporate HSE, Maintenance Team, and others in urgent cases to ensure the office running smoothly.
  • Be a member of Organization Board of Co. events/ conference/ meetings/ parties/ trainings.
  • Undertake some following tasks of Receptionist when she’s off:
  • Telephone Operator:
    • · Answer call-in and out
    • Take messages.
    • Provide assistance or guidelines to visitors to ensure that they follow our policies.
  • Handle documents/procedures to get permission on sea trial/launching at Water Police Dept./ at Vung Tau Pilot/ Port Authorities.
  • Handle documents with legal department and foreign affairs for certificate of vessel before delivery.
  • Arrange procedure for expats to work in Vietnam such as : work permit, visa, accommodation, ticket, etc.
  • Others tasks as assigned.
Qualifications Required:
  • Certificate in Office Administration/ Reception/ Business skills or equivalent.
Other Requirements:
  • Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, with the ability to build rapport with a diverse range of people.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • A positive attitude and a willingness to learn.
